How to Register a Team

How do teams work in Twirlmate?

Teams are collections of athletes, all of whom typically belong to the same group. And a group often has multiple teams. So, coaches must first create a group and add athletes to it as members. Then, they can create teams and select athletes that belong to them. Each athlete must have their own profile in the system, either under the coach's account or someone else’s (like a parent). After creating a team under a group, you can register it for competitions.

1. Confirm You're a Coach

Only users with the role of “coach” can create groups and teams. You’ll know if you’ve selected this role by visiting the My Accounts page. If you see the “Groups” tab, you are a coach in Twirlmate:

If you’re on a mobile device, you may have to scroll the list of tabs horizontally to find it.  If you do not see the Groups tab, visit the Account Settings form, select the “Coach” role in the Roles section, and click "Save" at the bottom of the page:

2. Create a Group

Visit the My Account / Groups page and click “Create Group”.

Complete the form. The name of the group should be your studio/group's name, such as "The Main Street Majorettes."

After you save the form, you will arrive at the group admin page, which only you and other members who you add as "staff" can see:

3. Add Group Members

Switch to the "members" tab to add athletes to your group:

Click "create group member" and search for athletes you wish to add to the group by their full name:

Optional: you may also add duets and trios to your group, so that you and other coaching staff can view/share their competition results.

If you do not find who you’re looking for, you have two options:

  1. Contact the athlete or parent outside of Twirlmate and ask them to create an account. Once they do so, you will be able to add them to the team.

  2. Create a Managed Account for the missing athlete(s) under your own account via the Managed Accounts page.

4. Create a team

Next, switch to the "teams" tab and click "create team."

Give your team a name (we recommend using the name of the song the athletes will perform to):

It will then appear in the list of teams for your group.

5. Add team members

Click on the team's name. There is where you'll eventually see the list of team members. Click "create team member" to add your members.

Search for athletes by their full name:

6. Register the team

Now that your team has been created, you can register it for competitions. Visit the events page, find the competition you wish to enter, and navigate to its registration page

Click “Add New” to start a new registration and click "New Participant":

Select the “team” participant type and select the team:

Then, choose the events in which the team will compete:

Note: team events have a “size” component that defines the minimum, and sometimes maximum, number of people that can be in the team. If your team doesn’t have enough people to meet the smallest size requirement for an event, you won’t see registration options for that event. To fix this, add more team members, choose a different event, or contact the event organizer.

7. Submit and pay for registration

When you are ready, add the registration to your cart and proceed to checkout for payment.
